Our Policy
We are committed to operating within the requirements of the General Data Protection Regulations 2018 – a piece of EU legislation that gives individuals more control over their personal data and how its stored. It is important that we have your permission to store a record of your personal data so that we can contact you following your website enquiry or as part of our broader operating processes when managing your event.
Reference to personal data within this Privacy Policy applies to both personal data obtained directly from a data subject under the legal basis of consent - and obtained indirectly from a data subject under the legal basis of legitimate interest.
Any personal data we collect from you, or that you provide to us, will be processed by us, as either or both a data controller and a data processor due to the nature of our business.
This policy acts as the means in which we are informing you of the processing of your personal data and is available via our website.
Data Collection
We only collect data for a specific and transparent use. We collect personal information which could include name, company, address, email, phone number etc when you:
• Send us an enquiry through our website
• Email us
• Work with us as a customer, supplier or employee
• Register or attend an event where we are appointed as event management agency
Once services are contracted, in our role as data processor, we may collect more sensitive personal information from your event attendees either directly from you as the client, or directly from the event attendee upon your instruction as the client. Such sensitive data which might include date of birth, driving licence information, passport information depending on the scope of the event and the need for the data type.
Where you have provided sensitive data to us, we shall only use the sensitive data for the purpose for which the data was provided to us.
Our website is not intended for children and we do not knowingly collect data relating to children.
We also maintain a simple prospect database justified as a Legitimate Interest where we collate names and contact details of B2B decision makers who are known buyers of our type of service.
Data Processing
We may process personal data to facilitate communication with the following:
• Communication with prospects through Legitimate Interest in terms of introducing our company and developing relationships
• Communication with potential clients through event proposals
• Communication with current clients in terms of provision of event services
• Communication with third party suppliers relating to a specific event
• Communication with event attendees as instructed by a client
Communication may be via post, email or telephone.
We do not engage in mail outs of newsletters, blogs and updates.
Data Retention
Your personal data will only be kept whilst your account is active and/or where retention is necessary and reasonable.
We will retain all prospective customer data for legitimate purposes until such time that we receive a request to opt-out.
Data Storage Security
We use physical and electronic safeguards to protect personal information. We will inform the ICO, in the instance of a data breach, which could result in discrimination, damage to reputation, financial loss or confidentiality loss. If necessary due to that breach resulting in a high risk to the rights and freedom of a data subject, we will inform those subjects that are involved in the breach at the earliest practical opportunity, with an investigation and preventative measures to follow.
Data Sharing
We do not share or sell your personal information with any third parties for marketing purposes.
As a Data Controller and Data Processor, we will only share personal information where necessary for the operational aspects and facilitation of an event that we are contracted to manage on your behalf.
Data Rectifying
We aim to keep data as accurate and up to date as possible. You have the right to request an amendment to your personal data which we will fulfil upon receipt of request.
Data Access
You have a right to request access to your personal data and any request will be responded to within 30 days of receipt of request.
Data Erasure
You have the right to withdraw your consent and instruct us to cease data processing and erase your personal data at any time - with exception if your personal data is integral to our operating processes during the event management/provision of contracted services to a client, in which case your personal data will be erased at the earliest opportunity after completion of our event services.
